Privacy Policy

At InventIQ, your privacy is important to us. This Privacy Policy explains how Access Analytic Solutions Pty Ltd (“we”, “us”, or “our”), the operator of the InventIQ platform (“the App”), collects, uses, stores, and protects information when you use InventIQ. By accessing or using the App, you agree to the terms outlined in this Privacy Policy.

1. Information We Collect

We collect the following types of information:

User information

  • Full name
  • Work email address
  • Business name and details
  • Role within your organisation (Admin, Contributor, Viewer)

Business inventory data

InventIQ reads inventory, sales, supplier, and purchase-order data from your business’s Microsoft Power BI semantic model. The data itself remains stored in your own Microsoft tenant and is accessed by us only through Microsoft’s Power BI REST API using a service principal your administrator has explicitly authorised. Typical data categories accessed:

  • Product master data (SKU codes, descriptions, suppliers, categories)
  • Stock-on-hand quantities and inventory value
  • Sales history
  • Purchase order history and supplier lead-time performance
  • Supplier settings and reorder configuration you enter within the App

Usage data

  • Account creation and sign-in events
  • Pages and modules accessed within the App
  • Session cookies and analytics cookies used to improve the App

2. How We Use Your Information

The information we collect is used to:

  • Provide secure sign-in and authorised access to the App
  • Generate reorder recommendations, analytics dashboards, and other requested outputs
  • Improve the functionality, reliability, and user experience of the App
  • Contact you about account, billing, or service matters

We do not use your information for third-party marketing purposes.

3. Data Storage

Where your inventory data lives: InventIQ is a multi-tenant Software-as-a-Service platform. In the standard architecture, your Power BI semantic model and the inventory data it contains remain in your own Microsoft tenant. InventIQ does not copy or persist your business data on our servers.

Where the App runs: The InventIQ application is hosted on Microsoft Azure in the Australia East region. Metadata about your users (name, email, role, tenant configuration, supplier reorder settings you create in the App) is stored in Azure Blob Storage in the same region.

Retention: Account and configuration data is retained for 3 years after account deletion, in line with Australian record-keeping requirements. After this period, all data is permanently deleted.

Backups: Application data is backed up to secure Azure cloud storage on a regular schedule.

4. Data Sharing

We may share data with third parties only under the following circumstances:

  • Authentication: Sign-in and identity are handled by Microsoft Entra External ID (part of Microsoft’s Azure identity platform).
  • Analytics processing: Data accessed from your Power BI workspace is processed within Microsoft Azure services to produce the reports and recommendations you use in the App.
  • Payment processing: If you subscribe to a paid tier, payment information is handled by a trusted payment processor. We do not store your full card details.
  • Legal or regulatory compliance: We may disclose information if required by law, court order, or valid governmental request.

We do not sell, rent, or trade your data with other entities.

5. Your Rights

As a user, you have the following rights regarding your data:

  • Access and correction: You may request access to or correction of your personal information at any time.
  • Data deletion: You may request deletion of your account and all associated data. Note that this does not delete data stored in your own Power BI tenant, which remains under your control.
  • Revoke access: You may revoke InventIQ’s access to your Power BI workspace at any time from within your Microsoft admin console; access ends immediately.
  • Cookie preferences: You may opt out of non-essential cookies via your browser settings.

6. Cookies and Tracking

We use cookies to enhance your experience and improve the App:

  • Session cookies: For secure sign-in and session continuity.
  • Analytics cookies: To understand how the App is used and improve its performance.

You can disable non-essential cookies through your browser settings. Disabling session cookies will prevent you from signing in to the App.

7. Data Security

We take the security of your data seriously and implement the following measures:

  • Encryption: All data is encrypted in transit (TLS 1.2 or higher) and at rest.
  • Identity and access: Authentication is provided by Microsoft Entra. Support for multi-factor authentication is inherited from your Microsoft identity policies.
  • Service principal isolation: Our Power BI service principal can only read datasets you explicitly grant it access to. It cannot write to your Power BI tenant.
  • Data breach response: In the event of a data breach, we will notify the appropriate Australian authorities and affected users promptly, in line with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

8. Updates to This Privacy Policy

This Privacy Policy is reviewed and updated annually, or as needed to reflect changes to the App or applicable law. Material changes will be communicated to users via email.
